An assessment may conclude that a well-tuned conventional search is enough. That is a planned outcome, and it leaves you the source map and the question set.

Hosted platform subscriptions carry an initial twelve-month term, then three months’ notice, indexed at 3% per year. No hidden per-user cost: what is per seat is written per seat.

What pushes the price up or down

Four variables explain most of the gap between the bottom and the top of each range.

The state of the sources

A tidy file server and a document system with an API connect quickly. Scanned PDFs of uneven quality, duplicates and implicit permissions lengthen the work considerably.

The number of connectors

A single source costs little. Every additional system adds an extraction path, a permissions mapping and a test cycle.

Volume and freshness

Indexing 5,000 documents once is nothing like reindexing 200,000 documents every night. Compute costs follow.

The standard required

Internal search tolerates a margin of error. A use that feeds a contractual answer demands more controls, and therefore more acceptance work.

What the monthly subscription covers

Day-to-day operations: monitoring, reindexing, backups, incident resolution and security updates.

Upkeep of the evaluation set and the quarterly review of its results, which is where adjustments get decided.

Compute costs for the chosen model, within the usage envelope defined in the contract. Beyond that they are charged at cost and flagged before being incurred, never after.

Questions about price

Can we stop after the assessment?

Yes, and it is expected. The report, the source map and the question set stay with you. Several assessments conclude that a well-tuned conventional search is enough.

Is the pilot deducted from the rollout?

Pilot work that remains usable is carried over, not redone. The difference is itemised in the rollout quotation.

Is there a per-user cost?

No. The subscription depends on document scope and compute usage, not on how many people query the system.
